New Orleans is my second biggest event market, and after enough years working it I have opinions about which venues make an event easier to photograph well. The Audubon Tea Room is one of the good ones, and the reason comes down to something you will not find on any venue listing page: the natural light in that ballroom is genuinely exceptional.
This past April, the Employer Coalition of Louisiana held their inaugural Annual Forum there, a half-day gathering of employers and healthcare stakeholders working on the cost and value of health coverage across the state. It was a new client, a first-year event, and a half-day in a single room. Here is what the Audubon Tea Room gives you as a New Orleans corporate event venue that other rooms in this city do not, and what you should know before you book it.
Photographing a half-day forum at the Audubon Tea Room
Most of the venue spotlights I write come out of multi-day conferences. This one was a half day: panels and presentations back to back with short networking breaks, incredible meals (the catering was next level), and no evening programming. You photograph each speaker while they are on stage, get your attendee and networking coverage during the breaks, and by early afternoon I was done and on a plane to Chicago for the next event!
It is a common corporate format and an easy one to cover well, and the venue is a big part of why this particular day went smoothly.
The windows are the reason to book this room
The ballroom at the Audubon Tea Room has enormous windows that fill the space with natural light all day.
That matters more than it might sound, because I work very hard to avoid using flash. It is distracting to guests, and I would rather work with the light a room already has than interrupt what is happening in it. I do own flashes and I will absolutely use them when a room leaves me no choice, but it is always the second option. What that means practically is that the light in your venue is usually the light in your photos, and that lighting is a decision you and your production team make long before I show up. A properly lit stage, house lighting worth keeping, or a room with good natural light will do more for your images than anything I can do after the fact.
The Audubon Tea Room during daylight hours takes that entirely off your plate. There is nothing to budget for and nothing to rig, and the images come out looking like the room actually looked, which is something clients want and rarely get out of a windowless ballroom. It is not something I can say about most event spaces in New Orleans.
The other thing those windows do is give you views out to Audubon Park and the Tea Room Garden. There is a meaningful difference between spending a morning of concentrated content in a sealed convention hall and spending it in a room where you can see trees, and attendees feel it whether or not they name it.
Who the Employer Coalition of Louisiana is
The Employer Coalition of Louisiana is an employer-led coalition founded in 2022 as an initiative of the Louisiana Health Care Quality Forum. Its members include employers, providers, hospitals, health plans, and benefits consultants, and the work is about increasing the value of healthcare in the state by lowering costs and improving quality, safety, and price transparency. Its founding members represented roughly 38,000 covered lives, which gives you a sense of how many Louisiana employees this actually touches.
The Annual Forum was their first, and a first-year event has a specific job to do. The images from it are what the organization uses to recruit members, show sponsors what they would be attaching their name to, and fill next year’s registration page. That is the real argument for hiring a photographer for a modest half-day gathering rather than assigning someone on staff to take phone photos between sessions.
Why a half day rate fits an event like this
My half-day rate covers up to seven hours of coverage, which is considerably more than a forum like this one needs. For an organization holding a compact half-day event and trying to grow it, that math works out well. You are not paying for a full day you cannot use, and you still get a professional library of images at the end of it.
That matters most for events in a growth phase. An organization running its first forum is usually trying to demonstrate to prospective sponsors and members that the room was full, the speakers were substantive, and the day was worth someone’s morning. Photos are the only way to make that case to people who were not there.
What to know before you book the Audubon Tea Room
A spotlight is only useful if it helps you match the venue to the event, so here are the practical considerations. Everything I just praised about this room is a daytime advantage. Those windows are an asset from morning through late afternoon, and after dark they are simply windows, at which point the room needs to be lit like any other ballroom. If your event runs into the evening, you are booking the Audubon Tea Room for its architecture and its setting rather than for the thing that makes it exceptional, and your production budget should account for lighting.
It sits uptown at 6500 Magazine Street on the Audubon Park grounds, which is both a selling point and a logistical factor. There is free on-site parking, which is close to a miracle in this city, but attendees are not walking back to a French Quarter hotel afterward. For a half-day event where people drive in and drive out, that works cleanly. For a multi-day conference with an out-of-town crowd staying downtown, you are adding transportation to every day of the schedule.
For planners doing the practical research: Dickie Brennan and Company handles food and beverage exclusively for the property, the ballroom holds several hundred for a seated program, and Oak Grove is available adjacent to the building if you want an outdoor component under the live oaks. Confirm current capacity numbers directly with the venue, since the figures floating around third-party listing sites do not agree with each other.
Same-day images and why they surprised this client
For New Orleans events I deliver same-day highlights, typically 30 to 100 fully edited images, with the full gallery following within three business days. The Employer Coalition was a new client and had not worked with me before, and they were genuinely shocked to have finished images in hand fast enough to post to LinkedIn while the forum was still fresh.
I bring this up because it is the part of the service most organizations do not know to ask for. The industry standard is a gallery some number of weeks after the event, and that is still how most event photographers work. Getting finished, edited images the same day means your communications team can post while your attendees are still together in the room, which is when they are most likely to engage with it, tag your organization, and share it with the colleagues who did not come.
Those images then keep working all year in member recruitment, sponsor decks, and next year’s registration page. Same-day delivery does not replace that.
